For Business | Adjusting License Count and Managing Renewals

To ensure uninterrupted access to DataCamp and align your subscription with your team’s needs, it's important to understand how renewals work, how to modify your license count, and what options are available to adjust your plan ahead of your renewal date.

This article covers how to plan your renewal, modify the number of licenses for your next term, and manage billing and team structure effectively.

Understanding your subscription renewal

All DataCamp for Business subscriptions renew automatically at the end of your current term annually. Your renewal will reflect:

  • The total number of licenses currently associated with your group, including any licenses added during the year.

  • Your current billing configuration, unless you request changes in advance.

You can view your renewal date by navigating to your Group Hub → Settings → Billing.

⚠️ If you want to make changes before your subscription renews, you’ll need to contact DataCamp Support ahead of time. We recommend reaching out 60-90 days before your renewal date.

Modifying the number of licenses for your next term

If your team size is changing, you can request an update to the number of licenses included in your next subscription term.

To adjust your license count for renewal:

  • Contact DataCamp Support and share:

    • Your organization's name or invoice number

    • The new number of licenses you’d like to renew with

    • Any additional considerations

Our Support and Sales teams will coordinate with you to confirm the changes and ensure your next invoice reflects the correct license count.

📝 Modifying your license count for renewal is not self-service — it must be handled manually by the DataCamp team.

Adding licenses during your current term

If your team grows during your current subscription period, you can add more licenses at any time.

To add licenses mid-term:

  1. Go to Group Hub → Settings → Billing.

  2. Click “Add Licenses” under the Learn or DataLab section.

  3. Enter the number of additional licenses you need.

Your invoice will be updated, and the added licenses will be prorated based on the time remaining in your current term.

💡 Any licenses added mid-term will automatically carry over into your next renewal unless you contact Support to request a different total.

Reallocating existing licenses

If team members leave or change roles, you can remove them from your group and reassign their licenses.

  • You can reassign up to 20% of your purchased licenses per term.

  • Removing a member frees up a license to invite a new learner (subject to the limits above).

  • During the 30-day grace period after renewal, you can freely reassign licenses without affecting your reallocation limits.

Removing a member does not lower your license count, but it frees up a seat for reassignment (subject to limits).

Admin seats and billing considerations

If you have team members who only need administrative access (e.g., to view reports, manage users, or oversee billing), they do not need a paid license.

  • Admins can be assigned a Basic (free) license and still retain full administrative rights.

  • This is a good option if the admin in your group does not need to learn with DataCamp.

I only want to renew one license

If your organization no longer needs multiple licenses, we recommend subscribing to an Individual Premium Learn plan instead. 

Please note that individual subscriptions will not provide the group access and will be managed through the user accounts directly.

If your renewal date has passed and you want to make changes to your license count, please contact Support.

Can I change my renewal date?

No, the renewal date cannot be changed.

Your renewal date is set at the start of your subscription and remains fixed. If you need to make changes to your license count or plan details before your next renewal, be sure to adjust them in advance.
