Overview
The Group Hub AI Chatbot is a built-in assistant that lets you ask questions about your organization's learning activity and, where permitted, take management actions — all in plain language, without needing to navigate reports or admin screens manually.
The chatbot's scope is limited to Group Hub: it can surface reporting and insights on your groups, teams, and learners, and it can help with group and team management tasks (like adding members or updating assignments). It does not perform actions outside Group Hub, and it cannot access or change anything beyond what your role is permitted to see and do.
Who Can Do What
What the chatbot can do for you depends on your role in Group Hub:

Only admins can ask the chatbot reporting questions (e.g. course completion rates, engagement trends). Managers and team managers can only use the chatbot for management tasks — and only for the groups or teams they manage.

The chatbot presents reporting answers as one of five artifact types, chosen automatically based on your question.

Management Actions & Approvals
Available to admins, managers, and team managers, within their scope.
The chatbot can help with group and team management tasks, such as:
- Members & invites: inviting members to a group, creating or removing invite links, withdrawing pending invites, and updating a member's role or license
- Teams: creating, renaming, or deleting a team, and adding or removing team members
- Assignments: creating group or team assignments, adding members to an existing assignment, updating an assignment, and archiving, unarchiving, or deleting one
- Waitlist: approving or denying waitlist entries
- Custom tracks: creating, editing, publishing, or archiving a custom track, and creating or updating external resources within a track
No action is ever executed immediately. Whenever you ask the chatbot to make a change, it first shows you exactly what it's about to do and asks for your explicit confirmation. Nothing is applied until you approve it, so there's no risk of an unintended change happening from a misread request.
Important to Know
- Scope: the chatbot only knows about Group Hub data and actions. It can't answer questions about other parts of the platform.
- Role-based access: reporting is admin-only; managers and team managers get management tools scoped to their own groups/teams (see "Who Can Do What" above).
- Approvals: management actions always require your explicit confirmation before anything is applied.
- AI accuracy: the chatbot can make mistakes, especially with ambiguous or very broad questions. Always double-check results before relying on them for decisions.

What can the chatbot help with?
Only things within Group Hub: reporting and insights on your groups/teams (admins), and group/team management tasks (admins, managers, team managers). It can't help with anything outside Group Hub.
Why can't I (as a manager) ask reporting questions?
Reporting access is limited to admins. Managers and team managers can use the chatbot for management tasks only, within the groups/teams they manage.
Will the chatbot make changes without asking me first?
No. Every management action is shown to you for confirmation before it's applied — nothing happens automatically.
